This page is maintained by Keelo, a KBI Group venture, to answer common privacy questions about the Keelo platform.

1. What this policy covers

This policy explains how Keelo collects, uses, stores and protects personal data when you use our website and platform. It applies to visitors, registered users and the customers of businesses that use Keelo.

Keelo is built on a managed platform that provides hosting, database and authentication infrastructure. We share responsibility for security and data handling with that platform provider. What we control directly is described below.

2. What we collect

  • Account information · name, email address and password (hashed) when you register. You may also sign in via Google or Meta; in that case we receive your name, email and a unique identifier from the provider.
  • Business data · the information you enter into Keelo, such as customer records, quotes, invoices, job details, marketing content and financial data.
  • Usage data · page views, feature usage and error logs to help us keep the service running and improve it.
  • Communications · messages you send us through support channels or feedback forms.

3. How we use your data

  • To provide, maintain and secure the Keelo platform.
  • To process your instructions, such as generating quotes or scheduling social posts.
  • To send service-related messages, such as billing reminders or security alerts.
  • To improve features and fix issues based on usage patterns and feedback.
  • To comply with legal obligations or enforce our terms.

We do not sell personal data. We do not use your business data to train third-party AI models outside the service.

4. AI and automated processing

Keelo includes AI-powered features that generate content, analyse data and suggest actions. When you use these features, your input is sent to an AI provider to produce a response. We choose providers that commit to not using your data to train their general models, and we review these commitments regularly.

You are always in control. AI-generated suggestions are clearly marked, and you decide whether to accept, edit or discard them.

5. Data sharing and subprocessors

We rely on a small number of third-party services to run Keelo. These providers process data on our behalf under contract and are not permitted to use it for their own purposes.

  • Cloud infrastructure and database · our platform host stores and secures application data.
  • Authentication · email/password and social sign-in services verify your identity.
  • AI services · process inputs for generative and analytical features.
  • Analytics · help us understand how the product is used so we can improve it.

We may share data if required by law, or to protect the rights, property or safety of Keelo, our users or the public.

6. Cookies and similar technologies

We use cookies and local storage to keep you signed in, remember your preferences and understand how the site is used. You can manage or delete cookies through your browser settings. Some features may not work properly if cookies are disabled.

7. Data retention and deletion

We keep your data for as long as your account is active, or as long as needed to provide the service and comply with legal obligations. If you close your account, we begin deleting your data within a reasonable period, except where we must retain it for legal or security reasons.

8. Security

We take security seriously. Measures we have in place include:

  • Encrypted data in transit (TLS) and at rest.
  • Role-based access controls within the platform.
  • Row-level security so each business can only access its own data.
  • Regular dependency scanning and security updates.

9. Your rights

Depending on where you live, you may have rights to access, correct, delete or restrict processing of your personal data. You may also have the right to object to certain processing or to receive your data in a portable format.
